Privacy Policy

Last updated 16 October 2026

This policy explains what personal information GanttMind collects, why, where it is kept and how you can see, correct or delete it. We handle personal information in line with the Australian Privacy Principles.

1. What we collect

  • Account: your email address, the spaces you belong to and your role in them, and when you agreed to the Terms of Use.
  • Content you upload: schedules (XER, P6 XML, Microsoft Project XML) and documents. These may contain names of people, companies and places; they are processed only to run the service for your space.
  • Usage: which pages and features are used and for how long, the internet (IP) address used, errors, and AI usage (counts and cost), to run, secure and improve the service and to apply plan limits.
  • Website and demo visits: a random number kept in a cookie in your browser for up to a year (so we can tell a return visit), the pages you open and for how long (the page sends a short signal every 30 seconds while you use it), your internet (IP) address and the approximate place it points to (city, region, country), your browser, system and type of device, your time zone and language, and the website or link that brought you here. We use this to understand how the site and the demo are used. If you later sign in on the same browser, that number is joined to your account, so we can tell which visitors went on to sign up. Visit records are deleted after about a year.
  • Quote requests: the name, company, email, phone and message you send through the quote form.

We do not collect passwords (sign-in uses a one-time code), payment card details or government identifiers.

2. Where it is kept

  • Accounts, settings and files: Supabase, in its Sydney (Australia) region.
  • The website runs on Vercel; sign-in emails and replies to your messages are sent through Resend, and email to hello@ganttmind.com is forwarded through Cloudflare. These providers process data for us under their own security and privacy terms.
  • AI features send the text needed for the answer (for example figures from your schedule or a question you typed) to Anthropic, which may process it outside Australia. It is used to give the answer, not to train Anthropic's models. AI features are only used when someone in your space uses them, and an owner can switch them off.

3. How we use it

To run the service for you and your space, sign you in, apply your plan, answer your quote request, keep the service secure, fix problems and improve it. We do not sell personal information, show your content to other customers or use it for advertising. The AI learns only within your own space (an owner can see, delete or switch off what it learned), never across customers.

4. Who can see it

The members of your space, according to their role; the service providers in section 2, only to run the service; and the GanttMind owners for support, security and plan administration. We disclose information to others only if you ask us to or the law requires it.

5. Keeping and deleting

We keep your information while your account or space is in use and for a reasonable time afterwards, then delete it. A space owner can ask us to delete the space and its files at any time; you can ask us to delete your account.

6. Security

Data is encrypted in transit, each space's files are separated, access is by role, and sign-in uses one-time codes. No system is perfectly secure; if a breach is likely to cause you serious harm we will tell you and, where required, the Office of the Australian Information Commissioner.

7. Your choices

You can ask to see or correct your personal information, ask us to delete it, or complain about how we handled it, using hello@ganttmind.com or the contact form at ganttmind.com.au/quote. If you are not satisfied with our answer you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

8. Changes

We may update this policy; the date at the top shows the latest version, and a material change will ask you to agree again. See also the Terms of Use.
